The Complete Guide to Event Catering in the Puget Sound Region

Planning an event somewhere between Seattle and Olympia? We've been helping folks in the Puget Sound area celebrate for over 35 years—and we'd love to help you figure out what you need.

At Café Pacific, we say it's about the food—and we mean it. But we also know that when you're planning an event, the food is just one piece of a much bigger puzzle. You're thinking about venues and guest counts and timelines and a hundred other details that keep you up at night.

We get it. Our Event Directors talk to people in your shoes every single day, whether it's a project manager organizing a corporate lunch in Kent or a couple planning their wedding reception in Tacoma. This guide is our way of answering the questions we hear most often—so you can go into the catering process feeling confident.

What Event Catering Actually Looks Like

When you work with a caterer, you're not just ordering food. You're bringing on a partner who handles everything from menu planning to setup to cleanup—so you can actually enjoy your own event.

Here's what that typically includes:

  • Working with you to design a menu that fits your event and your guests
  • Preparing everything fresh in our Auburn kitchen
  • Delivering to your venue and setting up
  • Providing service staff if you need them (for buffets, plated dinners, or bar service)
  • Breaking down and cleaning up when the event wraps

Some events need the full package. Others just need us to drop off a great spread and get out of the way. We do both—and everything in between.

Your Catering Options with Café Pacific

Let's walk through the different ways we can serve your event.

Delivery Catering

This is our most flexible option. We prepare your food fresh, then deliver it hot and ready to serve—typically about 15 minutes before your event starts. Our drivers arrive within a 45-minute window and set everything up so you don't have to lift a finger.

Here's something we're proud of: we pioneered our own Catering Crates system. Instead of flimsy aluminum pans and sterno flames, our Catering Crates keep food insulated while displaying it beautifully. They're reusable, recyclable, and make packing up leftovers a breeze.

Every delivery includes plates, cutlery, napkins, and serving utensils—everything you need. (If you don't need them, just let us know and we'll leave them out.)

Delivery works great for office lunches, casual gatherings, and events where you want excellent food without full service.

Buffet Service

Our buffet service goes beyond delivery. We set up a beautiful spread, keep it stocked throughout your event, assist your guests, and handle the breakdown and cleanup when you're done. You focus on your guests—we focus on the food.

Buffets work well for corporate events, family celebrations, and any gathering where you want variety and flexibility. Your guests can take what they like and come back for more.

Full-Service Catering

For weddings, galas, and formal occasions, our full-service catering handles every detail. That includes setup, professional service staff, bartending if you need it, plated or buffet service, and complete cleanup.

Our team has catered hundreds of weddings and formal events across the Puget Sound. We know how to read a room, anticipate needs, and keep everything running smoothly behind the scenes.

Outdoor Events

This is where we really have fun. Our outdoor catering includes BBQ, paella, grill stations, taco bars, and picnic menus—cooked fresh on-site for bold flavor and a little showmanship.

We've served company picnics, backyard parties, festivals, and waterfront celebrations throughout King and Pierce County. Some of our equipment is built specifically for outdoor cooking, so we'll work with you to make sure the setup fits your venue.

Events We Cater Every Week

Over 35 years, we've catered just about everything. Here's what keeps us busy:

Corporate Events

From board meetings in Renton to employee appreciation lunches in Federal Way, we work with businesses throughout the I-5 corridor. We know that corporate catering needs to be reliable, professional, and on time—no exceptions.

Our boxed lunches are popular for trainings and meetings. Hot buffet lunches work great for larger groups. And when you're hosting clients or celebrating a milestone, our dinner menus bring something special to the table.

Weddings

Weddings hold a special place for us. There's nothing quite like being part of someone's biggest day.

We've served receptions at venues across the South Puget Sound—elegant ballrooms, rustic barns, waterfront properties, backyards. Every wedding is different, and our Event Directors work closely with couples to design menus that feel personal and fit the vision.

Social Celebrations

Birthday parties, anniversaries, graduations, retirements, family reunions—these are the moments that bring people together. We love being part of them.

Our picnic menus are perfect for casual outdoor gatherings. For something more refined, our dinner menus offer options that impress without feeling stuffy. Whatever the occasion, we'll help you find the right fit.

Large-Scale Events

Festivals, fundraisers, community celebrations—we have the experience and capacity to handle big crowds. Our team has served events with hundreds of guests, and we bring the same attention to quality whether we're feeding 50 people or 1000.

Memorial Services

We also cater memorial services and celebrations of life. These events require care and sensitivity, and our team approaches them with the respect they deserve. We handle the food so families can focus on what matters most.

How to Choose the Right Caterer

We'd love for you to choose us—but more than that, we want you to find the right fit. Here's what we'd suggest looking for:

Experience with Your Type of Event

A caterer who's great at office lunches might not be the best choice for a 200-person wedding. Ask about their experience with events like yours. How often do they do them? Can they share examples or references?

Menu Flexibility

Can they accommodate vegetarian guests? Gluten-free diets? Allergies?

At Café Pacific, we offer a full special diet menu with dairy-free, gluten-free, vegetarian, and vegan options. We're transparent that our kitchen isn't certified allergen-free—cross-contamination is possible—but we work carefully with clients to accommodate guests' needs. For severe allergies, we're flexible about guests bringing their own food if that provides peace of mind.

A good caterer should be upfront about what they can and can't do.

Tastings

For larger events, especially weddings, you should taste the food before you commit. It's your chance to experience the quality, presentation, and portion sizes firsthand.

We host tastings at our kitchen in Auburn, and honestly, we enjoy them. It's a chance to get to know you and make sure we're aligned on what your event needs.

The Right Vibe

You're going to be working with these people on an important day. Do they listen? Do they seem genuinely interested in making your event great? Trust your gut.

What Does Catering Cost?

Budget comes up in every conversation, so let's be straightforward.

Catering costs vary based on menu choices, service level, guest count, and timing. A Saturday evening wedding costs more than a Tuesday lunch meeting—that's just how it works.

Here's what you can generally expect:

  • Delivery catering (boxed lunches, hot buffets): More budget-friendly, great for casual events
  • Buffet service with staff: Mid-range, includes setup and cleanup
  • Full-service plated dinners: Higher investment, but elevated experience for formal occasions

When we put together a proposal, we spell out exactly what's included so there are no surprises. If something isn't in the quote, we'll tell you.

Getting the Most from Your Budget

If you need to manage costs, here are some things that actually help:

  • Buffet service requires fewer staff than plated dinners
  • Chicken and vegetarian options cost less than beef or seafood
  • Brunch or lunch events are often more affordable than dinner
  • Weekday events or Sunday events may offer more flexibility than Saturday nights

We're always happy to work with you on finding a menu that fits your budget. No judgment—we'd rather help you have a great event within your means than push you toward something that doesn't work.

When Should You Start Planning?

The short answer: earlier than you think, especially for popular dates.

Weddings and Large Events

We recommend booking 2-6 months in advance for large events. If you're planning a wedding during peak season (May through October) or a holiday party in December, earlier is better. Popular dates fill up.

Corporate Events and Mid-Size Gatherings

For company events, fundraisers, or gatherings of 50-150 guests, a few weeks to a couple months of lead time is usually comfortable.

Smaller Orders and Delivery

Office lunches, small parties, and delivery orders can often be arranged with a couple weeks' notice, depending on our availability. But if you have a specific date in mind, it never hurts to reach out early.

Venues We Know Well

We've catered at venues throughout the Puget Sound, so chances are we know your space—or one like it. That familiarity helps us anticipate challenges and plan accordingly.

Whether it's a hotel ballroom, a corporate office, a park, a backyard, or a waterfront venue, we'll work with you to make sure the catering fits the space and flows smoothly.

If you're still searching for a venue, we're happy to share recommendations. Over 35 years, we've built relationships with some great partners in the area. Click Here to check out a few venues we love!

Questions We Hear All the Time

How far do you travel?

We serve the greater Puget Sound area—roughly from South Seattle down to Olympia along the I-5 corridor. Auburn, Kent, Renton, Federal Way, Tacoma, Puyallup, Lakewood, and everywhere in between. If you're not sure whether we cover your area, just ask.

Do you handle dietary restrictions?

Yes. We have a special diet menu with gluten-free, dairy-free, vegetarian, and vegan options. We're not a certified allergen-free kitchen, so we're always transparent about that, but we take dietary needs seriously and work with clients to accommodate guests.

What about alcohol and bar service?

We offer beverage services ranging from coffee stations to hosted bars to our mocktail menu. We can handle the bar service for your event or work alongside a bartender you've hired.

Can I pick up my order instead of delivery?

Yes—smaller orders can be picked up directly from our kitchen in Auburn.

What happens with leftovers?

They're yours to keep. Our Catering Crates make packing up leftovers easy. Good food shouldn't go to waste.

Do you provide tables, chairs, linens?

Catering-related items like chafing dishes, serving utensils, and food displays are included with our service. For tables, chairs, and linens, we can point you toward rental partners we trust.
