General Information

Welcome to Café Pacific Catering! By using our services or accessing our website, you agree to the following Terms of Service. Please read them carefully. If you have any questions, contact us at office@cafepacific.com.

Company Details

Deposits & Payments

To secure your event date, a 33% deposit is required within 10 days of contract approval. Deposits are non-refundable and non-transferable, but the full amount will be applied to your final balance.

The remaining balance is due in full five (5) business days before your event date.

  • We accept check payments (payable to Café Pacific Catering).

  • We accept all major credit cards, though a 3% processing fee applies to card payments.

Service Charges & Gratuity

  • Full-service events: Subject to a 20% operations charge on food, beverages, and rentals.

  • Drop-off deliveries: Subject to a 15% operations charge.

  • Pick-up orders: Subject to a 10% operations charge.

This operations charge covers vehicle expenses, equipment wear and tear, kitchen costs, and administrative expenses. It is not a gratuity.

For your convenience, a suggested gratuity may be automatically included in your invoice. Gratuity is optional and can be adjusted or removed at your discretion. 100% of gratuities go directly to our staff.

Cancellation Policy

We understand that plans change. Our cancellation policy is as follows:

  • More than 90 days before the event: No cancellation fee.

  • Between 90 and 60 days before the event: A cancellation fee of 50% of the original estimate applies.

  • Less than 60 days before the event: A cancellation fee of 90% of the original estimate applies.

If a cancellation fee applies, the amount due—less any deposit already received—must be paid upon receipt of the final invoice. These fees help fairly cover the costs and commitments made in preparation for your event.

Guest Count & Event Changes

  • A final guaranteed guest count is due 14 business days before your event.

  • No guest count decreases can be made after this deadline.

  • Guest count increases must be requested at least 10 business days before the event.

  • No changes can be accommodated less than 10 business days before the event.

Tax-Exempt Status

Organizations claiming tax exemption must provide:

  1. A copy of IRS Letter confirming 501(c)(3) status.

  2. A copy of the WA State Reseller Permit.

These documents must be submitted within 10 days of contract approval.

Delivery and Setup Policy

  • Delivery Area: We deliver within a 40-mile radius of our location. Additional charges may apply for locations outside this area.

  • Timing: Delivery will be scheduled to arrive 1 hour before the event.

  • Client Responsibility: The client must ensure adequate access to the venue and provide necessary utilities (e.g., power, tables).

Equipment Use

  • Rental Items: Any rented items (e.g., glasses, plates, utensils, etc.) must be returned in the condition they were provided. Clients will be responsible for any damage or loss.

  • Cleanup: Basic cleanup is included in our services. Additional fees may apply for extensive cleanup.

Photo and Video Release

By using our services, you agree that we may take photos or videos of our setup and food for promotional purposes. If you wish to opt out, please notify us in writing before your event.

Liability Disclaimer

We are not liable for:

  • Food allergies or dietary reactions. Please see our Allergen Disclaimer for more information.

  • Delays caused by circumstances beyond our control.

  • Damage or loss occurring after food delivery/setup.

Dispute Resolution

Any disputes arising under these Terms of Service will be resolved through mediation, governed by the laws of King County, Washington.
